We are working with our major Oil and Gas client, seeking a Dispatch Coordinator to join them on an initial 1 year contract with the potential of extension. This is an opportunity to join a fast-paced, collaborative dispatch team supporting bulk and packed lubricant deliveries mainly across Perth and WA. Your coordination skills, customer focus, and operational mindset will make a direct impact on service delivery. Key Responsibilities:
You’ll work within the Dispatch and Fulfilment Team to manage bulk scheduling, delivery exceptions, returns, courier requests, and regional transport coordination across Australia.
You’ll be a key point of contact for customers, customer service teams, carriers, and 3PL warehouse providers, helping ensure orders are delivered efficiently and issues are resolved quickly.
This is a hands-on coordination role that requires strong communication, sound judgement, and a proactive approach to service and problem-solving.
Coordinate with sales teams, warehouses, and transport providers to meet urgent and critical customer requirements.
Manage bulk orders to support efficient carrier utilisation and cost-effective transport outcomes.
Arrange and monitor stock returns, non-delivered product, redirects, and notices of return to ensure service levels and KPIs are achieved.
Handle inbound and outbound customer contact with a strong focus on responsiveness, service quality, and issue resolution.
Maintain accurate administration and complete all required paperwork in line with current policies, procedures, HSSE, quality, and environmental requirements.
Report HSSE, security, environmental, or quality incidents in line with business procedures.
Support ad-hoc dispatch, fulfilment, and customer service tasks as required.
Key Stakeholders:
Transport Team – to support carrier operations, scheduling and cost tracking.
Warehousing, Planning & Inventory Teams – to help coordinate timely dispatch, transport and inventory.
Sales & Customer Service – to assist with delivery tracking and customer satisfaction.
Plant & Supply Chain Leadership – to provide updates and support reporting needs.
About you:
At least 2 years’ experience in customer service, dispatch, warehousing, or a related coordination role.
Strong experience in warehousing and dispatch operations.
Excellent attention to detail and time management skills.
Intermediate Excel skills and confidence working with operational systems and administration tasks.
A proactive, positive approach and the ability to work autonomously.
Strong stakeholder management and communication skills.
An agile mindset with demonstrated continuous improvement focus.
Understanding of Chain of Responsibility (CoR) and fatigue management requirements.
JDE experience would be beneficial
