We are working with our Oil and Gas client seeking a Regulatory Assistant to join them on an initial 3-month contract with possible extension. About the role: Provide secretarial, administrative and project support to the Offshore Infrastructure Regulator (OIR) function and to other divisions/teams as requested. Ensure the Chief Executive Officer, Deputy Chief Executive Officer Strategic Regulation and Improvement, and the Executive Director Offshore Renewables Regulation are prepared for internal and external meetings and events relevant to the OIR including being appropriately briefed and aware of timeframes within which matters must be attended to. Co-ordinate internal and external meetings relevant to the OIR, prepare agendas, take minutes and provide other assistance where required. Assist with planning and co-ordination of workshops and events and booking conferences, seminars etc. Provide onboarding advice and assistance to new team members. Calendar management the Executive Director Offshore Renewables Regulation. Draft email and letter correspondence in response to queries and requests received by the the Executive Director Offshore Renewables Regulation. Source information and undertake research as directed by the Executive Director Offshore Renewables Regulation. Assist team members to comply with policies and procedures and provide guidance where required. Arrange airline and accommodation bookings as required, including preparing travel authority documentation and expense re-imbursements. Finance related activities, including aassistance with procurement including raising purchase order requisitions, reconciliation of expense and reimbursement claims, and corporate credit cards. Other Responsibilities: Assist the OIR in developing and implementing regulatory processes, systems, operating procedures and work instructions relevant to the administration of submissions and other documentation under the Offshore Electricity Infrastructure Act 2021 framework. Facilitate and execute the administration of operational activities and assist the Executive Director and team members in the implementation of core regulatory processes, including processing regulatory submissions, drafting and reviewing correspondence, liaising with license holders in a timely manner, Electronic Document Records Management and preparation of electronic files and the development and maintenance of division/team records. Assist with maintaining the OIR website and preparing other external facing materials including presentations and communications collateral. Process and record reports from duty holders and liaise with internal and external stakeholders as necessary. Experience Required: Demonstrated experience as a Technical Assistant, Team Administrator, Executive or Personal Assistant, Administrative Officer, Project Administrator and Project Co-ordinator including competency utilising all Microsoft office software packages. Good communication and interpersonal skills, including the ability to liaise confidently and with diplomacy and discretion and to take minutes of internal and external meetings and action matters as appropriate. Demonstrated initiative and the ability to solve problems, set priorities and meet regulatory deadlines with limited supervision in a fast-paced team environment. Demonstrated ability to undertake research and find information on behalf of the Executive Director Offshore Renewables Regulation, and team members.
