Shift timing: 5.30 PM - 2.30 AM IST Let me tell you about the role! The Facilities Administrator provides administrative and operational support for facility management activities, ensuring buildings, equipment, and workplace environments are maintained efficiently and safely. This role coordinates maintenance requests, manages vendor relationships, processes of invoices, maintains facility records, and supports day-to-day facility operations. What you will deliver • Coordinate and track facility maintenance and repair requests. • Serve as the primary point of contact for facility-related inquiries. • Schedule and manage preventative maintenance programs. • Maintain facility records, contracts, permits, and compliance documentation. • Coordinate with vendors and contractors. • Process purchase orders, work orders, invoices, and payment requests. • Monitor vendor performance and service agreements. • Assist with budgeting, expense tracking, and reporting. • Support office moves, furniture installations, and space planning. • Generate facility performance and maintenance reports. What will make you successful Required Qualifications • Associate degree in Business Administration, Facilities Management, Finance, Construction Management, or a related field; equivalent combination of education and experience will be considered. • Minimum of 2 years of experience in facilities administration, operations support, financial administration, or a related role. • Experience utilizing SAP, CMMS, or other enterprise systems for financial, facilities, or operational management. • Advanced proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams. • Strong organizational, analytical, and problem-solving skills with a high level of attention to detail. • Excellent written and verbal communication skills, with the ability to effectively interact with internal stakeholders and external vendors. Preferred Qualifications • Experience supporting multi-site facilities or property operations. • Working knowledge of facilities management practices, preventive maintenance programs, and vendor management processes. • Familiarity with budget planning, forecasting, financial reporting, and expense tracking. • Experience with data management, reporting, and process improvement initiatives. • Knowledge of asset management systems and facility-related documentation standards.
