Entity: Supply, Trading & Shipping Job Family Group: Supply & Trading Group Job Description: Overview The Market Data team works closely across the global bp community to ensure timely delivery of data services and compliant use of market data. We maintain appropriate controls, permissions, and governance, and build strong relationships with exchanges and third-party suppliers to deliver financial value and minimise operational risk. Role synopsis The Market Data Administrator works with the ST&S Global Manager, Market Data, and supports all aspects of market data operations. This role supports day-to-day activities across the subscription service lifecycle to help deliver strategic outcomes, mitigate risk, create financial value, and prevent operational disruption. Skills and experience Build strong partnerships with internal collaborators and external vendors. Influence and collaborate successfully across all levels of seniority within bp. Work expertly across ST&S, Upstream, and Downstream business units. Understand business approval processes, procurement controls, and contract workflows. Strong Excel capability to support reporting, reconciliation, and analysis. Knowledge of subscription licensing and usage entitlement principles. Clear written and verbal communication skills, with attention to detail. Operate successfully across multiple teams and regions (Market Data, Finance, Procurement). Plan, coordinate, and drive approvals through to completion. Awareness of AI and automation in a business context and how it can improve processes. Strong partnership and a proactive, service-focused approach. Key tasks Maintain accurate subscription inventory controls (services, users, contracts) across departments, regions, and systems. Maintain accurate user and service records within the inventory management system (MDM). Administer approval workflows for new user requests, ensuring required approvals are obtained in a timely manner. Support onboarding and removals for new requests and BAU cancellations as part of the Joiners, Movers and Leavers (JML) process. Process moves, adds, and changes to ensure access is correctly recorded for compliant reporting. Provide on-demand cost management and usage reporting to stakeholders. Allocate subscription costs to relevant business units and support budget tracking. Identify and implement cost-saving opportunities, including licence rationalisation Act as first-line support for internal queries on subscription costs, entitlements, and operational processes. Operate effectively at a global level, building relationships with local teams and taking responsibility for agreed objectives. Vendor management Act as the operational link with vendors for new services and changes to existing services. Support vendor onboarding, contract renewals, and quotes to drive efficiency and transparency. Ensure approvals are captured correctly and documents are routed and stored appropriately. Use internal systems to ensure digital security, risk, and compliance requirements are completed. Maintain end-user records for monthly vendor reporting and audit readiness, ensuring compliance with usage policies. Cost optimization and controls Coordinate the vendor invoice process end-to-end, from receipt to payment. Validate invoices against contracts, quotes, and reconciled usage information. Produce granular reporting for individuals and managers at an appropriate level of detail. Present financial and usage reports to stakeholders to support decisions. Optimise service delivery by identifying redundant licensing and right-sizing agreements in line with budget constraints. Assist with preparation of documentation to support vendor audits and internal control reviews. Contribute to continuous improvement initiatives for processes, workflows, and documentation (including automation where appropriate).
