Customer Service II (Part-time) - Clinical Research Intake Coordinator Location: 100% onsite - Grayslake, IL Length of Assignment: 6+ months initial contract, possibility of extension Pay Rate: $20/hr Schedule: Part time, 25 hours per week, 5 hrs per day; Monday-Friday, 7:00 AM-12:00 PM, with possible additional hours. Must be able to start as early as approximately 6:30 AM when needed for daily preparation. Job Description: Summary: This position manages the daily intake and coordination of study participants at the ACPRU. The role supports study teams by maintaining accurate clinic schedules, coordinating participant communications, preparing required documentation, and ensuring participant-identification and visit-readiness procedures are completed accurately and efficiently. Key Responsibilities: Manage the daily intake of study participants arriving at the ACPRU. Confirm participant identity and apply participant identifiers before participants enter the laboratory. Print participant wristbands after identity confirmation. Notify study teams of participant arrivals and visit type. Update clinic schedules with accurate daily participant counts. Follow up with prospective participants who are running late to confirm their estimated arrival time. Monitor daily telephone calls and messages related to outpatient visits. Collect, organize, and upload essential screening documents to eSource. Prepare participant charts and supporting materials for upcoming visits. Send appointment reminders to prospective participants. Maintain accurate and timely participant records in accordance with study procedures and applicable requirements. Communicate effectively with prospective participants, study teams, and clinic staff to support smooth daily operations. Qualifications: Education – Associate’s Degree is acceptable Customer-service experience in a clinical setting. Comfort processing a large volume of people at one time. Ability to de-escalate challenging situations professionally. Strong attention to detail. Proficiency with Microsoft applications and general computer systems. Medical-record data-entry experience. Availability for onsite work Monday-Friday and early-morning start times. Experience Level: 3-5 years.
