We are seeking an organized, proactive, and personable
Administrative Assistant II
to provide administrative support to department managers and their teams. This position is ideal for someone with approximately
2–3 years of administrative experience
who is comfortable independently managing calendars, coordinating meetings and travel, processing expenses, and supporting day-to-day departmental operations.
The ideal candidate will be an
engaging, outgoing, and collaborative professional
who can build strong working relationships, manage changing priorities, and take initiative with general direction.
Key Responsibilities
Provide general administrative support to department managers and their teams, including backup support to higher-level management as needed.
Manage complex calendars, schedule meetings, and proactively identify and resolve scheduling conflicts.
Coordinate meeting logistics and provide meeting support as needed.
Arrange domestic and international business travel, including transportation and accommodations.
Prepare and process travel and business expense reports accurately and in a timely manner.
Support new employee onboarding and related administrative activities.
Prepare, edit, format, and maintain business documents using Microsoft Office applications and established templates.
Maintain departmental databases, records, and files in accordance with corporate and government requirements.
Utilize Microsoft Office Suite, Outlook, SharePoint, corporate travel systems, and other business-specific software to complete assigned work.
Follow applicable corporate and divisional policies and procedures, including purchasing and requisition processes, security and privacy requirements, and corporate branding guidelines.
Partner effectively with colleagues and cross-functional teams to support departmental priorities.
Adapt quickly to changing priorities and independently follow through on assigned tasks with moderate to minimal supervision.
Required Qualifications
High school diploma or equivalent required; some college coursework preferred.
2–3 years of administrative, clerical, or related professional experience preferred.
Demonstrated experience with
calendar management and meeting scheduling.
Experience coordinating
travel arrangements and processing expense reports.
Experience providing
meeting and departmental administrative support.
Intermediate to advanced proficiency with
Microsoft Office Suite, including Outlook.
Working knowledge of
SharePoint
and ability to learn additional business-specific software.
Strong organizational and time-management skills with excellent attention to detail.
Ability to manage multiple priorities and work effectively with general instruction and supervision.
Strong interpersonal and communication skills.
Self-starter with a collaborative, team-oriented approach.
Ability to learn new systems and processes quickly and adjust priorities when business needs change.
Must be able to work onsite
Tuesday through Thursday each week.
Ideal Candidate Profile
The strongest candidate will have recent administrative experience supporting one or more managers in a professional corporate environment. They should be comfortable owning calendars, coordinating travel and expenses, supporting meetings, and interacting with employees across different levels of an organization.
Beyond technical administrative skills, the team is looking for someone who is
engaging, outgoing, dependable, proactive, and comfortable building relationships across the organization.
